The paperwork that eats your week can draft itself.

Windlass AI builds practical automations for Maine businesses: quoting, invoicing, timesheets, reports, and follow ups. You review everything before it moves. You just stop doing the tedious part.

Sound familiar?

Your best people spend their days retyping things.

Every small firm we know runs on one or two overworked people holding it all together. The work below is real, it is expensive, and almost all of it can draft itself.

Friday timesheet archaeology

Reconstructing the week from memory. The hours you forget are revenue that quietly disappears.

The month end billing crunch

Draft invoices, edits, client formats, partner review. One to three weeks of skilled time, every month.

Quotes and proposals from scratch

Every estimate rebuilt by hand from the last one, when the details already live in your notes and emails.

Chasing what you are owed

Invoices go out late, follow up is manual, and cash sits in other people's accounts while you wait.

How we work together

Three ways in. Most clients start with the audit.

Build Sprint

$7,500 to $25,000 per project
  • Your top two or three automations, built and running in two to six weeks
  • Connected to the tools you already use
  • Your team trained on it before we call it done

Prototype in week one, so you see your own data moving before we go further.

Fractional AI Partner

$1,500 to $4,000 per month
  • We maintain and expand what we built
  • One new improvement every cycle
  • Your own AI department, for less than a tenth the cost of a hire

Quarterly strategy reviews and staff office hours included.

The method

Understand. Build. Run.

1

Understand

We map where your firm loses time: intake, quoting, scheduling, invoicing, reporting. Each opportunity gets scored on hours consumed, error cost, and difficulty.

2

Build

We build the highest payoff automations first and prove value in days, not months. Every build ends with measured before and after numbers.

3

Run

Tools change monthly. On retainer, we keep your systems current, train your people, and keep finding the next win.

Built, not promised

Real systems the founder has built and run in production.

7 weeks

of backlogged timesheets reconstructed from calendar, calls, and email, then reviewed and filed in a single sitting.

441 reports

in one company's system audited automatically. Only 8 were actually in use. A cleanup nobody had time to face became a same day report.

2 billing cycles

gone wrong had one company ready to abandon their software. Careful diagnosis found the exact cause and stabilized the account before the next run.

Results from systems built by the founder in professional services delivery work. Every engagement starts by measuring your baseline, so your results are yours.

Why firms trust us with this

Hard rules we never break.

It drafts. You approve.

Nothing reaches a client, a timesheet, or your books without a person signing off. The dangerous step is never automated.

Your data stays yours.

Automations run in your own accounts wherever possible. If we ever part ways, your systems keep working.

We show the work.

Every output can be traced to its source. No black boxes, because you cannot sign off on math you cannot see.

We automate labor, not judgment.

The person who runs your office becomes more central, not less. We take the retyping, they keep the decisions.

The founder

Built by someone who lives in this work every day.

I'm Piner Markovchick. I work daily with professional services firms, accounting, consulting, architecture, engineering, and IT services, on the software that runs their operations: time, billing, projects, and payments. I know what these firms measure, where their margins leak, and how their people actually adopt new tools.

Along the way I started building AI automations for my own workload: systems that reconstruct timesheets from the digital trail a week leaves behind, turn signed contracts into ready to run projects, and write the follow up paperwork a client call creates. They worked well enough that colleagues asked for them. Windlass AI exists to build them for you.

A windlass is the winch a crew uses to haul the anchor. The machine does the pulling so the crew doesn't have to. That's the whole idea.

Windlass AI LLC is based in Portland and works on site across Greater Portland, and virtually across Maine.

A workflow audit takes a few days, costs a flat fee, and hands you a ranked roadmap with real numbers attached. If you never spend another dollar with us, you'll still know exactly where your time is going.
